Does my organization have access to our Antibody Registry database?

Because of HIPAA requirements, your organization does not have direct access to the database. The database resides on a secure server maintained by River City Studio from which your authorized users can access the database.

How do our authorized users access our Antibody Registry?

Your authorized users access your Antibody Registry through their secure connection Web browser. The system is built to support IE 7, IE8 and IE9, Firefox, Safari and Chrome browsers.

To what data and functions do authorized users have access?

Because there are multiple levels of user authorization built into the system, users may or may not have the ability to perform the following functions:

  • Assign Usernames and Passwords to specific users
  • Add additional antibody types to the system
  • Add patient data records
  • Edit and make notes to patient data records
  • Search patient data records

How do we add to or update existing data?

You can provide River City Studio with an encrypted database file sent through SFTP (secure file transfer protocol) to the HIPAA server. A programmer will import existing data into your Antibody Registry. After the Antibody Registry is set up, new data will be entered using the double-entry system accessed via your Web browser.

Is there a fee for data transfer?

The initial database import is included in the setup fee. The cost for additional database imports is $300 per import.

Do we have the ability to make inquiries?

Authorized users have the ability to search records via a Web Browser. If a user searches more than the number of records you determine, the Superuser will be alerted via email.

Can the system store HLA and HNA antibody specificity and strength information, transfusion history, family member information and previous transfusion history?

The system can store multiple data fields as long as HIPAA requirements are not compromised.

Is system training available for users at our blood center and at hospitals?

The setup fee includes a day of multiple training sessions for blood center staff and client users. We are happy to provide pricing for Webinars and/or visiting other locations to run a day of training sessions. A User Guide is also part of the setup package.

Is licensing per concurrent users?

Pricing for your Antibody Registry is based on the number of facilities accessing the system as well as the number of unique users. As many as 5,000 or more users can be accessing the system at the same time.

What database does our Antibody Registry application use?

The application uses a MySQL database.

What kind of server does our Antibody Registry require?

There are no server requirements because the application runs on a server in a HIPAA- and HITECH-compliant environment controlled and managed by River City Studio.

Where is our Antibody Registry hosted?

The application is hosted in a secure co-located facility at 1102 Grand Blvd. in Kansas City, Missouri. Information about this very robust facility can be found at 111.1102grand.com. River City Studio leases rack space at this facility, and we purchase our bandwidth from one of 25 providers available in the building. We own our servers and are responsible for providing the HIPAA- and HITECH-compliant environment on your behalf.

How will our patient data integrate with data from other systems?

To maintain HIPAA compliance, the patient data will not directly integrate with data from other systems.

Are there any hospital system requirements to access the application?

Hospitals will need nothing except accessability to a supported Web browser to access the application. It is entirely Web-based.

Who will administer our Antibody Registry?

Your organization will have a Superuser to assign and manage all other users. You will also have the ability to assign which level of user is allowed to run reports.

How is our Antibody Registry supported if a user has a problem and needs technical assistance?

You will handle user support issues with your clients directly. Our monthly maintenance will cover any potential issues with the Web-based software that are not a result of user error.

Can we apply our branding to the login pages, etc.?

Your branding will be applied to all pages within your site.

What kind of reporting is available regarding use and performance?

We can provide the ability to pull reports on how many user sessions occur within a specified time period as well as how many records are searched during the same period.

How would you structure the system if we wanted our hospitals that transfuse larger amounts (e.g., more than 250 units/year) to be the first customers offered this service?

You have complete control over who uses the system first. No one will have access to the application without receiving a Username and Password you issue. Note: The information should not be sent via email unless the email is encrypted or part of an attached encrypted document.)
